Privacy Policy

Information we collect

Account and contact information: your name and email address when provided, sign-in provider and account identifiers, and authentication/session information. Business profiles and client records can include names, company names, email addresses, phone numbers and postal addresses.

Business and document information: logos, invoices, estimates, products and services, prices, taxes, discounts, due dates, notes, photos and captions, signatures and signer names, payment amounts and methods you record, balances, recipient responses, and document sending and viewing history.

Subscription information: purchase transactions, product identifiers, trial and renewal information, and subscription entitlement status. Apple processes App Store purchases; we do not receive your complete payment-card details from Apple.

Usage and technical information: onboarding answers, features used, app lifecycle events, app and operating-system versions, device characteristics, account and installation identifiers, IP addresses, request timing, error reports and security logs. Our analytics provider may derive approximate city, region or country from an IP address. The app does not request GPS location.

Support information: your contact details, messages, attachments and troubleshooting information when you contact us. Please avoid sending passwords, one-time codes or unnecessary client information.

On your device and in the cloud

You can create and edit documents without an Invoice Mint account. Guest documents are stored on your device. When you sign in and connect your workspace, business information, client records, documents and associated files are uploaded to our cloud services for backup, synchronization, sharing and PDF generation.

Guest mode does not mean that no information leaves your device: product analytics, error reporting and subscription services can operate before you sign in. Removing the app can remove local-only records that have not been synchronized.

How we use information

We use information to authenticate users; create, store, synchronize and share documents; generate PDFs; process estimate responses and payment records; verify subscriptions and restore purchases; analyze product use and subscription performance; prevent abuse; diagnose errors; provide support; and maintain the service. Onboarding answers also help us understand customer needs and set up relevant starter items in the app.

Contacts, photos and signatures

If you choose to import a contact, the app uses the device contact picker to copy the selected contact details into a client record. It does not upload your entire address book. Selected contact details are synchronized with your workspace when cloud sync is enabled.

Photos and logos you select or take are used in your business profile or documents and uploaded when those records are synchronized. The app does not upload your entire photo library. You can manage available device permissions in iOS Settings.

Signatures collected in the app, the signer name, signing date and associated document details are stored with the document. We use signatures as document content, not for biometric identification.

Document sharing and recipients

You decide which client details and document content to enter and share. You are responsible for having authority to use that information. A hosted document link can be opened without an Invoice Mint account. Anyone who obtains a valid link, including someone it is forwarded to, can view the shared document. Only share links with people you intend to give access.

When a recipient opens a hosted document, we record document-view activity so the sender can see that it was opened. Estimate responses can include the recipient’s name, decision, comments and response time. Our hosting services also process technical request information such as IP addresses for operation and security. A recorded view does not verify the viewer’s identity or prove that they read the document.

Email, text and other sharing options use your selected communication service. We store delivery information such as the channel, recipient and sending status. Where our server sends an email, our delivery provider processes the recipient, subject and message. We do not access your general inbox or message history. Exported files and messages may remain with recipients or their service providers after you delete a document or account.

Product analytics and error reporting

We use PostHog to understand onboarding completion, feature use and where people encounter difficulty. Events can include app opens, onboarding selections, document creation and sending, payment-record actions and subscription purchases. Event properties can include document type, item or photo counts, currency, payment-method category, delivery channel and subscription cadence, together with device and app information.

Analytics uses an installation identifier before sign-in. After sign-in, we associate analytics with your Invoice Mint account ID; earlier activity may be associated with that account. These records are pseudonymous, not fully anonymous. Approximate location may be derived from the network IP address.

Our manually defined analytics events do not include invoice line-item text, client contact details, document photos or signature images. We also send captured application errors and technical context to PostHog; error messages can contain information involved in the error. Session replay is disabled in the current app, so we do not record screen replays.

We use these services for product analytics and troubleshooting, not to display third-party targeted advertising. We do not sell personal information or share it with data brokers.

Subscriptions and payment services

RevenueCat and Apple help us validate purchases, restore access and manage subscriptions. We send RevenueCat your Invoice Mint account ID and, when available, email address for subscription administration and support. RevenueCat processes purchase history and subscription status and provides subscription analytics.

Payments you manually record in Invoice Mint include the amount, date and method; recording a payment does not itself process money. If online payment features are available and you choose to use them, Stripe processes payment or business-onboarding information under its own terms and privacy policy. We receive the connected-account and transaction information needed to operate those features.

Service providers and disclosure

Our providers include Supabase for authentication, database and file storage; Cloudflare for hosting, networking and security; PostHog for analytics and error reporting; RevenueCat and Apple for subscriptions; Resend where we send service emails; and Stripe when online payment features are enabled. Google and Apple also process information when you choose their sign-in services. Email, messaging and sharing providers you select handle the information you choose to send through them.

We disclose information to providers as needed to operate these features. We may also disclose information to comply with law, protect users or the service, respond to your instructions, or carry out a business transfer subject to applicable privacy obligations.

Retention, deletion, and your choices

We keep information as needed to provide the service, support your account, meet legal and financial recordkeeping obligations, resolve disputes and protect the service. Retention varies by information type and provider. Operational logs, analytics, provider backups and records required by law can remain after active account data is deleted; account deletion is not a promise of immediate removal from every provider system.

You can edit business and client information in the app and request account deletion from Account settings. The deletion workflow removes your active account, owned cloud workspace and associated stored files, clears the local workspace on the device used to delete the account, and requests deletion of the associated RevenueCat customer profile. It does not automatically erase historical PostHog analytics or copies already shared with others.

Deleting the app or your Invoice Mint account does not cancel an App Store subscription. Manage or cancel subscriptions through Apple. To request access, correction or deletion of personal information, including analytics associated with your account, contact [email protected]. We may need to verify your identity and will handle requests subject to applicable law and legitimate retention requirements.

Security and international processing

We use safeguards such as account authentication, access controls and encrypted network connections for cloud services. No service can guarantee absolute security. Shared document links are access links, not identity checks or end-to-end encryption.

Our providers may process information in Canada, the United States and other countries where they operate. Information may be subject to the laws of those locations. We use provider agreements and safeguards appropriate to the services involved.

Children and changes

Invoice Mint is a business tool and is not intended for children under 13. We may update this policy as the product or legal requirements change. Material updates will be identified by a new effective date and, where appropriate, an in-app notice.
