Invoice app and templates for HVAC technicians

Seasonal rushes, flat-rate tune-ups, parts and equipment that costs thousands. HVAC invoices need to handle all four.

HVAC work comes in waves. The first hot week of summer and the first cold snap bring more calls than you can book, and the invoices pile up the same way. The business also mixes very different jobs: a hundred-dollar tune-up, a repair with a part, and an equipment replacement that costs more than a used car.

What makes HVAC invoices different

  • Flat-rate pricing is common for tune-ups and standard repairs, while installs are quoted. The invoice has to follow whichever was agreed.
  • Equipment is a big-ticket item with a manufacturer warranty, and the model and serial number belong on the invoice.
  • Maintenance plans create repeat work, which is the most reliable income in the trade and deserves its own billing.
  • Peak season is when invoices slip. Falling behind in July is common and costly.

Equipment is a big-ticket item: put the model and serial number on the invoice.

What goes on an HVAC invoice

  1. The service performed, named the way you sell it: “Spring AC tune-up”.
  2. Parts by name, with quantity and price, and the warranty that applies to each.
  3. Labour for repairs that go beyond the flat-rate service, with hours and rate.
  4. For equipment, the make, model and serial number, and the warranty terms.
  5. The next service date if the client is on a maintenance plan.

Example: a tune-up that turns into a repair

Invoice for a tune-up and capacitor repair
ItemQtyPriceAmount
Spring AC tune-up (flat rate)1$149.00$149.00
Run capacitor, supplied and fitted1$64.00$64.00
Labour for repair (hours)1$110.00$110.00
Air filter1$18.00$18.00
Total$341.00

Total $341.00. The tune-up is a flat rate, the repair is itemised, and the client can see exactly which part of the bill was the extra.

Three billing problems HVAC businesses run into

Falling behind in peak season

When every day is full, invoicing waits for the evening and the evening never comes. Invoicing before you leave the property removes the backlog.

Equipment warranties that cannot be proved

A client who cannot find the paperwork for a new unit calls you. Put the make, model and serial number on the invoice and the answer is already on file.

Maintenance plans billed by hand

A plan that needs a manual reminder each year is a plan people let lapse. Note the next service date on the invoice and follow up before it comes round.

Estimates, deposits and getting paid

Equipment replacements should always start with a written estimate that names the equipment and what is included. A deposit at acceptance covers the order. For repairs, invoice on completion. Our guide on pricing a job helps you work out your rates.

How Invoice Mint fits HVAC work

  • Save your flat-rate services, hourly rate and common parts to build invoices quickly in peak season.
  • Send the invoice as a link from the property before the next call.
  • Turn an accepted equipment estimate into an invoice in one tap.
  • See which invoices are unpaid so you can follow up when the rush ends.

How much do HVAC technicians make?

In the United States, the Bureau of Labor Statistics (BLS) puts the median annual wage for heating, air conditioning and refrigeration mechanics and installers at $61,010 as of May 2025, about $29.33 an hour. BLS projects 11 percent job growth from 2025 to 2035, much faster than average.

MeasureAmount
The lowest-paid tenth earn less than$40,050
Median wage$61,010
The highest-paid tenth earn more than$95,210
Projected job growth, 2025 to 203511 percent

These figures are for employees. BLS wage data does not include self-employed workers, so an owner’s income depends on the prices they charge, the work they win and the costs they carry. Say you want to take home the median, $61,010, and your van, gauges, recovery equipment, insurance and software cost $22,000 a year. If you can bill 1,300 hours (most of a self-employed year goes on quoting, driving, buying materials and paperwork), you need $63.85 for each billable hour just to get there, before tax and before any profit.

Do HVAC technicians need a licence, and how long is the training?

BLS says some states and localities require HVAC technicians to be licensed, and that the Environmental Protection Agency requires nearly all of them to be certified in proper refrigerant handling. Training programs generally last from six months to two years, followed by a long period of on-the-job training or an apprenticeship that usually lasts several years.

Taxes and costs when you run an HVAC business

The IRS sets the self-employment tax rate at 15.3 percent (12.4 percent for Social Security and 2.9 percent for Medicare), and people who work for themselves may need to pay estimated tax each quarter instead of having tax taken from every payment. Costs that are specific to heating and cooling include:

  • Refrigerant certification, gauges and recovery equipment.
  • A parts inventory that has to be ready for the first hot or cold week.
  • Insurance and any licence your area requires.
  • Warranty callbacks and the time they take in peak season.
  • Your van, fuel and the cost of seasonal overtime.

Rules in Canada, Australia, the UK and elsewhere are different, so check with your own tax office. A habit that works everywhere: move a fixed share of every payment into a separate account the day it arrives, and ask an accountant what share suits your income.

Common questions

How should I invoice a flat-rate service plus a repair?

List the flat-rate service as one line and each repair part and labour as separate lines. The client then sees what was included in the service and what was extra.

What equipment details belong on the invoice?

The make, model and serial number, the installation date and the warranty terms. It saves a call later and helps with warranty claims.

How do I bill maintenance plans?

Invoice the plan fee at signup or renewal, show what visits it includes, and note the next service date on the invoice so you both know when it is due.

Is there a free HVAC invoice template?

Yes. The free invoice and estimate templates can be edited for HVAC work and downloaded as a PDF, Word file or Excel sheet.
