Invoice app and templates for mobile mechanics

You bring the workshop to the customer. The invoice needs to cover travel, parts, labour and the approval for anything extra.

A mobile mechanic works in a driveway or a parking lot, with whatever is in the van. There is no counter, no waiting room and no shop invoice system. The customer is usually standing nearby or at work, and the invoice is often the first and last piece of paper they see.

What makes mobile mechanic invoices different

  • Travel is part of the service, and a travel fee is normal because the time between jobs is unpaid.
  • Parts are bought for the job, often on the same day, and the customer expects a clear price for each.
  • Diagnosis can lead to more work than the customer asked for, so approval before extra work matters.
  • Payment is expected at the end of the visit, and a fast invoice makes that easy.

What goes on a mobile mechanic invoice

  1. The vehicle, with make, model, year and mileage, so the invoice is a service record.
  2. The travel fee, as its own line.
  3. Parts by name, with the part brand if it matters, quantity and price.
  4. Labour hours and rate, or a flat-rate price for the job.
  5. Shop supplies and fluid disposal, if you charge for them, and the warranty on parts and labour.

Example: front brakes at the customer’s home

Invoice for a front brake job
ItemQtyPriceAmount
Travel fee1$40.00$40.00
Front brake pads (set)1$78.00$78.00
Front brake rotors2$64.00$128.00
Brake labour (hours)2.5$95.00$237.50
Shop supplies and fluid disposal1$18.00$18.00
Total$501.50

Total $501.50. The customer can see the travel fee, the parts and the labour, and your warranty note on the invoice says what is covered.

Three billing problems mobile mechanics run into

Extra work found during a repair

Brakes lead to a seized caliper, an oil change to a leak. Message the customer with the price before you continue, and keep the reply.

Warranty on parts you did not buy

Decide whether you warrant customer-supplied parts, and write it on the estimate. “No warranty on supplied parts” avoids a bad argument.

Getting paid on the spot

Customers pay faster when the invoice arrives in the minute after you finish. Send it as a link before you load the van.

Estimates, deposits and getting paid

Give an estimate for parts and labour before you start, and ask for approval by message. For expensive parts, ask for a deposit when you order them. Our guide on invoicing from your phone covers sending the invoice before you leave.

How much do mobile mechanics make?

In the United States, the Bureau of Labor Statistics (BLS) puts the median annual wage for automotive service technicians and mechanics, the BLS category that covers mobile mechanics, at $50,620 as of May 2025, about $24.34 an hour. A mobile business adds travel time, which a shop does not have, so prices need to reflect it.

Pay for automotive service technicians and mechanics in the United States, May 2025 (BLS)
MeasureAmount
The lowest-paid tenth earn less than$34,660
Median wage$50,620
The highest-paid tenth earn more than$81,790
Projected job growth, 2025 to 20355 percent

These figures are for employees. BLS wage data does not include self-employed workers, so an owner’s income depends on the prices they charge, the work they win and the costs they carry. Say you want to take home the median, $50,620, and your van, tools, scan equipment, insurance and software cost $16,000 a year. If you can bill 1,400 hours (most of a self-employed year goes on quoting, driving, buying materials and paperwork), you need $47.59 for each billable hour just to get there, before tax and before any profit.

Do mobile mechanics need a licence, and how long is the training?

BLS lists a postsecondary nondegree award as the typical entry credential for automotive service technicians, with short-term on-the-job training. It adds that the Environmental Protection Agency requires technicians who work with refrigerants to be certified in proper refrigerant handling. Local business licensing and insurance rules for working at a customer’s address vary, so check yours.

Taxes and costs when you run a mobile mechanic business

The IRS sets the self-employment tax rate at 15.3 percent (12.4 percent for Social Security and 2.9 percent for Medicare), and people who work for themselves may need to pay estimated tax each quarter instead of having tax taken from every payment. Costs that are specific to a mobile business include:

  • Diagnostic and scan tools, which are expensive and need updates.
  • Your van, fuel and the unpaid time spent travelling between jobs.
  • Insurance that covers work at a customer’s address.
  • Parts accounts and the cost of returns.
  • Certification fees and training.

Rules in Canada, Australia, the UK and elsewhere are different, so check with your own tax office. A habit that works everywhere: move a fixed share of every payment into a separate account the day it arrives, and ask an accountant what share suits your income.

Common questions

Should a mobile mechanic charge a travel fee?

Most do, because travel time between jobs is unpaid. Show it as its own line and state it in your terms before the visit.

How do I get approval for extra work?

Message the customer with the issue and the price before continuing, and keep the reply. Then add the work as its own line on the invoice.

What should I put on the invoice besides parts and labour?

The vehicle details and mileage, your warranty terms, and the date. It makes the invoice a service record the customer can keep.

Is there a free mechanic invoice template?

Yes. The free invoice template can be edited for mobile mechanics and downloaded as a PDF, Word file or Excel sheet.
