Invoice app and templates for handymen

Lots of small jobs, lots of receipts, and a different client every day. The invoice has to be quick or it will not get done.

A handyman’s day is a string of small jobs: a sticking door, a TV to mount, a hole in the drywall. Each one is too small to feel worth paperwork, which is exactly why the money goes missing. A forty-dollar job invoiced a week late is often a forty-dollar job that is never invoiced at all.

What makes handyman invoices different

  • Many jobs, many clients, small amounts. The time to invoice has to be a minute, not an evening.
  • A minimum charge matters. Driving to a job and setting up costs the same whether the fix takes ten minutes or two hours.
  • Materials are bought on the way, from several shops, with receipts that need matching to the right client.
  • Clients often add tasks while you are there. Without a written record, the extra work is given away.

Small fixes add up: each task is a line on the invoice.

What goes on a handyman invoice

  1. One line per task, in words the client understands: “Replace interior door handle and adjust latch”.
  2. A minimum or trip charge as its own line, so it does not look like a surprise on a small job.
  3. Materials at what you paid, plus a handling charge if that is your policy, and keep the receipt.
  4. The date of the visit and the address, so a client with several properties can tell which one it covers.
  5. How and when to pay, in one clear sentence.

Example: three small jobs in one visit

A client booked a door fix, then asked for a TV to be mounted and a hole patched while you were there. All three go on one invoice.

Invoice for one visit
ItemQtyPriceAmount
Replace interior door handle, adjust latch1$65.00$65.00
Mount 55-inch TV on wall, hide cables1$95.00$95.00
Patch and paint drywall hole1$85.00$85.00
Materials from the hardware store (receipt kept)1$38.40$38.40
Trip charge1$25.00$25.00
Total$308.40

Total $308.40. Because the TV and the patch were added on the day, they are on the invoice with their own prices. That is how extras get paid.

Three billing problems handymen run into

Giving away the extras

“While you’re here…” is how an hour of unpaid work happens. Say the price before you start the extra task, and write it on the invoice.

Receipts that do not add up

Keep a photo of each receipt and put the materials on the invoice the same day. A shoebox of receipts at the end of the month turns into undercharged jobs.

Chasing small amounts

Small invoices are the hardest to chase because the amount feels petty. Send them the same day, with a payment link, and most are paid before you have left the street.

Estimates, deposits and getting paid

For anything over a couple of hours, send a short estimate first so the client agrees to the price. Ask for a deposit when you must order materials. For quick repairs, invoice from the driveway. Our guide on invoicing from your phone covers the routine.

How Invoice Mint fits handyman work

  • Save your regular tasks and prices, such as “Mount TV” or “Patch drywall”, and add them to an invoice in a tap.
  • Create the invoice on the job and send it as a link before you drive away.
  • Add materials as their own line and keep your records in one place instead of a pile of receipts.
  • See at a glance which invoices are still unpaid.

How much do handymen make?

In the United States, the Bureau of Labor Statistics (BLS) puts the median annual wage for general maintenance and repair workers, the BLS category that fits handyman work, at $49,590 as of May 2025, about $23.84 an hour. A handyman business sets its own prices, so what an owner earns can be higher or lower than this.

Pay for general maintenance and repair workers in the United States, May 2025 (BLS)
MeasureAmount
The lowest-paid tenth earn less than$35,350
Median wage$49,590
The highest-paid tenth earn more than$77,180
Projected job growth, 2025 to 20354 percent

These figures are for employees. BLS wage data does not include self-employed workers, so an owner’s income depends on the prices they charge, the work they win and the costs they carry. Say you want to take home the median, $49,590, and your van, tools, insurance and software cost $9,000 a year. If you can bill 1,100 hours (most of a self-employed year goes on quoting, driving, buying materials and paperwork), you need $53.26 for each billable hour just to get there, before tax and before any profit.

Do handymen need a licence, and how do you learn the trade?

BLS says licensing requirements vary by state and locality, and that more complex tasks, such as electrical or plumbing work, may need a licence or certification in that specialty. Many handymen limit the work they take on to what the local rules allow without one. A high school diploma is the typical starting point, followed by on-the-job training that is shorter for people who already have trade experience.

Taxes and costs when you run a handyman business

The IRS sets the self-employment tax rate at 15.3 percent (12.4 percent for Social Security and 2.9 percent for Medicare), and people who work for themselves may need to pay estimated tax each quarter instead of having tax taken from every payment. Costs that handymen often forget to price in include:

  • Hand and power tools, which wear out and need replacing.
  • Your van, fuel and the time spent driving between small jobs.
  • Insurance, and any licence or registration your area requires.
  • A stock of common supplies such as screws, caulk and fittings.
  • Software to invoice and track unpaid jobs.

Rules in Canada, Australia, the UK and elsewhere are different, so check with your own tax office. A habit that works everywhere: move a fixed share of every payment into a separate account the day it arrives, and ask an accountant what share suits your income.

Common questions

Should a handyman charge a minimum?

Most do. A minimum covers the travel, setup and time that a short job still takes. State it on your estimate or booking message so the client knows before you arrive.

How do I charge for materials I buy on the way?

Add each material as its own line at what you paid. Many handymen also add a small handling charge for the shopping trip; if you do, say so in your terms. Keep the receipt.

What if a client adds jobs while I am there?

Give a price before starting each one and add it to the same invoice as its own line. A text message confirming the price is enough proof.

Is there a free handyman invoice template?

Yes. The free invoice template can be edited for any trade and downloaded as a PDF, Word file or Excel sheet.
